Hello Everyone,
It’s time once again for our annual guild elections, to be held on Sunday, June 23rd, 2019 at 1:30pm. I At the end of this message are the instructions for by-proxy voting. As of right now the meeting will be held at my house. As some of you know, I do not have central air conditioning. My new window unit does a reasonably good job of keeping the downstairs cool. However if there is anyone else who would be willing to host who has the space and central, I will gladly concede hosting duties to them.
On a side note, if there is anyone else who would be willing to host meetings occasionally at their residence, please contact me so we can coordinate. I am concerned about all the time and gas it takes to drive all the way out to my house. I have no problem shouldering some of the time and travel costs, if it cuts down on the amount of travel that others have to do.
Also I have uploaded a file containing a proposed amendment to our by-laws. During a recent review of our policies and procedures there are not clear guidelines or statements regarding non-discrimination or harassment. In light of recent world news and events, I as president, believe that is important that we provide a welcoming, safe, and secure environment for all costumers to be able to gather and express themselves. I would ask that all of our members take some time to review these proposed amendments and if you have any feedback please let us know so we can put this to a vote next meeting.
Also if you have any unfinished projects, please bring them along so we can hang out and do some costuming.

Procedure for Voting by Absentee Ballot
Absentee Ballots: All active members have the right to provide absentee ballots for Elections where they will not be physically present.
a) All Absentee Ballots must be received in the Corporation Post Office Box by one (1) full week immediately prior to the day of the Election. Only Active Members of the Corporation whose dues are current at the time of the election, or may be paid on the day of the election as long as said members have not fallen into Lapsed status. Lapsed members must renew their memberships according to the By-Laws, and are not eligible to vote for or run for office.
b) The Absentee Ballot shall consist of a plain piece of 8 ½ x 11” paper, listing the issues or name of the offices, followed by a yes, no abstention, or the name of Active Members for whom one is voting. If the ballot is for an Election, one need not vote for all the offices.
c) The Absentee Ballot must be mailed inside a sealed envelope with each voting member's name and address printed in the upper left hand corner, and the words “Absentee Ballot” printed on the envelope. The legal signature(s) of the voting member(s) must appear on the reverse (flap) side of the envelope.
d) More than one (1) Absentee Ballot may be mailed in a single envelope, but there must be only one (1) ballot (member's vote) per piece of paper. The names and signatures of all members whose ballots are contained inside the enveloped must appear on the outside of the envelope. The ballot envelope must NOT contain anything except for the Absentee Ballot(s).
e) Envelopes containing all Absentee Ballots received by the cut-off date, will be opened at the election meeting after the Treasurer and Vice President (Parliamentarian) certify that the names and signatures that appear on the outside are those of current Active Members. All ballots will be removed from their envelopes and will be turned over to the elections committee still folded and in such a fashion as to maintain confidentiality.
